Executive Assistant to the CEO

They should be extremely organized, professional, and decisive, with relevant experience highlighting their capability to manage all administrative work, ensuring the CEO’s operations run smoothly. The perfect candidate should be detail-oriented and a creative problem solver.

This entry-level role offers the opportunity to work and learn from one of the most influential headhunters in the FMCG industry, contributing to servicing the biggest companies in the industry.

Key Responsibilities

  • Schedule and coordinate appointments, meetings, and events for the executive, optimizing their time.
  • Make travel arrangements and prepare itineraries.
  • Manage incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence.
  • Organize and maintain files, records, and documents, ensuring that information is easily accessible.
  • Prepare agendas, take minutes, and provide administrative support during meetings.
  • Oversee the daily operations of the executive’s office, including ordering supplies, coordinating office maintenance, and handling other administrative tasks.
  • Handle sensitive information with discretion, maintaining a high level of confidentiality.
  • Build and maintain relationships with internal and external stakeholders on behalf of the executive.
  • Be proficient in using office software, communication tools, and other relevant technologies.
  • Stay informed about industry trends and best practices to enhance professional knowledge and skills.

Professional Experience / Qualifications

The successful candidate will have

  • At least 3+ years of previous work experience.
  • A valid US work visa.
  • Bachelor’s degree or equivalent experience.
  • Efficient and organized.
  • Proficiency in Microsoft Office suite/Google Apps (Outlook, Excel, Word, PowerPoint, etc.).
  • Excellent written and verbal communication skills in English (native/bilingual speakers). Other languages are a plus.
  • Ability to prioritize and meet deadlines
  • Maintaining confidentiality is a priority.
  • Can-do attitude; not afraid of trying new things.
